Understanding our policies ensures a smooth and memorable experience for all our events and services

Booking & Setup

Booking Requirements

  • All bookings must be made at least 5 days in advance
  • Your event will be fully set up upon your arrival at your chosen location. Once your party arrives, we will step away and return at the agreed end time for clean-up. Please message us if your event ends early.
  • Clients are responsible for all items and setup from the time of setup until the scheduled end time

Timing Policy

  • Your event begins and ends at the scheduled times, regardless of arrival time.
  • If you are more than 30 minutes late, we reserve the right to begin clean-up or conclude the service.
  • Time lost due to lateness cannot be extended unless arranged beforehand.

Weather & Cancellations

Bad Weather Policy

  • We monitor the weather carefully for every event.
  • If bad weather is expected, clients will be notified before the event and may choose to reschedule (subject to availability).
  • If rescheduling is not possible and the client chooses to cancel, a $50 cancellation fee will apply. You will be refunded the remaining balance (excluding any non-refundable vendor or permit fees).
  • If bad weather occurs during the event, unfortunately no refund can be issued.
  • An indoor location (such as your home) is a great alternative and can be arranged in advance for applicable services.

Cancellations & Refunds

  • To cancel a booking, please contact us at reservations@moonlighteventsllc.com and include your booking details.
  • Cancel up to 72 hours in advance for a refund (minus a $50 cancellation fee and any vendor/permit costs).
  • No-shows are not eligible for a refund or rescheduling.

Rescheduling

  • To request a rescheduling, email reservations@moonlighteventsllc.com with your booking details.
  • You may reschedule your event up to 72 hours before your scheduled service.
  • The rescheduled date must be within 30 days of the original event date.
  • We will try our best to reschedule any vendors but they may not be able to be rescheduled. In cases where vendors cannot be rescheduled, we can still provide any ordered items that are applicable.
  • No-shows are not eligible for a refund or rescheduling.

Location & Equipment

Location Policy

  • We may adjust your event's location slightly to ensure the best experience possible. This could be for reasons such as safety, accessibility, privacy, lighting, or scenic views.
  • While we aim to honor your preferred spot, we cannot guarantee an exact setup location, especially in public spaces.
  • Setup must be within 50 meters of accessible parking for services requiring equipment transport.
  • If your chosen location is not accessible, we will work with you to find the nearest suitable area.
  • Please note: We do not guarantee privacy in public parks or spaces.
  • Travel is included within 25 miles of Kimberly, ID. Locations beyond this radius will incur a distance-based fee.

Equipment & Property Responsibility

  • All equipment, props, and materials provided are the property of Moonlight Events.
  • Items must be returned in good condition (where applicable).
  • Loss, damage, or stains may result in replacement or professional cleaning fees.

Alcohol Policy

  • Moonlight Events does not provide alcohol.
  • Alcohol is not permitted in public parks unless otherwise specified.
  • On private property, alcohol is permitted at the owner's discretion.
  • Clients may bring their own food and drinks, but Moonlight Events is not responsible for any incidents, damages, or injuries related to alcohol consumption.

Liability Waiver

By booking any service with Moonlight Events, you acknowledge and agree to the following:

  • You voluntarily assume all risks associated with event activities, including but not limited to injuries, allergic reactions, weather conditions, and unforeseen circumstances.
  • Moonlight Events is not responsible for any personal injuries, loss, or damage to personal belongings during the event or service.
  • You acknowledge that any allergies, medical conditions, or special requirements must be disclosed in advance. We are not liable for issues arising from undisclosed conditions or sensitivities.
  • You release Moonlight Events, its owners, employees, and partners from any liability, claims, or demands arising from participation in any of our events or services.
